Using Freshbooks for Your Virtual Assistant Business

episode 22 placard Today I want to talk with you about Freshbooks. You’ve probably noticed that we mention it a lot and it’s noted all over the website, too. There are reasons that we here at VA Helper really love it and I thought I’d share them with you today.

To start, Freshbooks is time keeping and invoicing software. The first great thing about it is that it’s easy to use and you don’t need to spend a week or two figuring out how it all works.

You can use it to keep track of your time for projects, set rates for certain clients or projects and invoice with it. This means that when you’re billing a client, you can use it to charge by time and use a rate-per-hour or you can charge a unit cost per project, so it’s flexible to suit your needs. You can save your clients in Freshbooks and then you can even set up different projects for those clients so that every time you invoice, you don’t have to re-enter that information.

freshbooks bannerAs far as invoicing and getting paid, you can link your PayPal or merchant account to Freshbooks and then just send your client an emailed invoice.

The other thing that makes Freshbooks great is that you can use it to keep track of all of your expenses for tax purposes. Each time I purchase something, I just add it to my expenses in the software. There is even an option for recurring expenses like monthly membership fees. When tax time rolls around, I can just print out a report for my accountant that’s already itemized for me.

Freshbooks is web-based so there’s no need to download any software to your computer. They now have a smartphone app so you can use it on the go. The free version will allow you to enter up to three clients and no staff. This will give you access to time tracking, invoicing and expense keeping. If you want to move up from there, they offer a 30-day free trial that will give you unlimited access to everything they have to offer.
